A joining letter is not a court document. It is not a thesis. It is simply you putting your “yes” on paper so the company can get your desk ready, make your ID card, and start your salary on time. Think of it as a formal RSVP to a party — except the party is your new job, and the cake is your first paycheck.

What is a joining letter, really?
Think of it like a wedding RSVP. Your friend calls and says, “Come to my wedding.” You say yes on the phone. But they still need the card back so the caterer knows how many plates to keep. A joining letter works the same way. The company gave you an offer. You said yes. Now they need that yes on paper so they can make your ID card, open your salary account, and give you a desk.
It protects you too. If anyone ever asks, “When exactly did you join?” you have proof in your hand.
The five pieces you need
You do not need big words. You do not need to sound like a lawyer. Every joining letter has five simple parts. Think of them like five stairs. Step on each one, and you are done.

First stair: Your address and the date. Put where you live and today’s date at the top left. This tells them who wrote it and when.
Second stair: Who you are writing to. The company name. The HR manager’s name if you know it. If not, “The HR Manager” works fine.

What if you have worked before?

Mistakes that make you look careless
Let me tell you what makes HR managers sigh.
Wrong date. You copy an old letter and forget to change the date. Always check.
No subject line. Your mail gets lost in the inbox jungle. Always write a clear subject.
Sounding too fancy. “I hereby declare my intention to commence employment…” No. Just say “I will join on…”
Forgetting to list your documents. If you say “documents attached,” name them. Otherwise HR has to open everything to figure out what is missing.
Spelling the company name wrong. Check the offer letter. Copy-paste the name if you have to.
My honest advice
Do not overthink this. The joining letter is not a test of your English vocabulary. It is a test of whether you can communicate clearly. Write it like you are talking to a polite stranger. Be respectful, but be you.
Send it within a day of getting the offer. Keep a copy on your phone and laptop. And once you send it, stop worrying. You have done your part. Now go buy a good notebook for your first day. You are going to do great.
